This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website [insert URL] and interact with our online services.

This policy applies to all visitors to our website, regardless of location. If you are located in the European Economic Area ("EEA"), the United Kingdom ("UK"), or another jurisdiction with specific data protection laws, please refer to Section 10 for additional information about your rights.

By using our website, you consent to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the website.

Information We Collect

We collect information in the following ways:

Information You Provide Directly

When you complete a contact form, submit an inquiry, or subscribe to our email communications, we may collect your name, email address, phone number, company name, job title, and any other information you choose to include in your message.

Information Collected Automatically

When you visit our website, certain information is collected automatically through cookies and similar technologies, including your IP address, browser type and version, operating system, referring URL, pages visited, time and date of your visit, time spent on pages, and other standard web analytics data. We use Google Analytics for this purpose (see Section 5 below).

How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to your inquiries and communicate with you about our services

  • To send you email newsletters and marketing communications where you have opted in to receive them

  • To analyze website usage and improve our website content, functionality, and user experience

  • To maintain our business records and manage our client relationships

  • To comply with applicable legal obligations

We do not sell your personal information to third parties.

How We Share Your Information

We may share your personal information with the following categories of third-party service providers who assist us in operating our business:

  • ClickUp — We use ClickUp as our customer relationship management (CRM) platform to manage inquiries and client communications. Information submitted through our contact forms is stored in ClickUp.

  • Wix — We use Wix in conjunction with ClickUp to manage and distribute our email marketing communications. If you subscribe to our newsletter, your email address and related information will be processed through these platforms.

  • Google (Google Analytics) — We use Google Analytics to analyze website traffic and usage patterns. Google Analytics uses cookies to collect anonymized data about your visit (see Section 5).

These service providers are authorized to use your personal information only as necessary to provide services to us and are contractually required to protect your information. Your information may be stored or processed in jurisdictions outside of Canada, including the United States, where these providers maintain their infrastructure. Where such transfers occur, we take reasonable steps to ensure your information is protected in accordance with applicable law.

We may also disclose your information where required or permitted by law, regulation, legal process, or governmental request.

Cookies and Tracking Technologies

Our website uses cookies — small text files placed on your device — and similar technologies to enhance your experience and collect analytical data.

Google Analytics

We use Google Analytics to understand how visitors interact with our website. Google Analytics uses cookies to collect information such as how often you visit, which pages you view, and which other sites you visit before ours. We use this information in aggregate form to improve our website. Google Analytics collects only the IP address assigned to you on the date you visit, rather than your name or other identifying information.

For more information about how Google uses your data, visit Google's Privacy & Terms page at https://policies.google.com/privacy. You may opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-on, available at https://tools.google.com/dlpage/gaoptout.

Managing Cookies

Most web browsers allow you to control cookies through their settings. You can set your browser to refuse all or some cookies, or to alert you when cookies are being sent. Please note that disabling cookies may affect the functionality of certain parts of our website.

Email Communications

If you subscribe to our newsletter or other email communications, we will use your email address to send you the content you have requested. Every marketing email we send will include an option to unsubscribe. You may opt out at any time by clicking the unsubscribe link in any email or by contacting us at the address in Section 13 below.

Please note that even if you opt out of marketing communications, we may still send you transactional or administrative messages related to an inquiry you have submitted.

Data Retention

We retain your personal information only for as long as is reasonably necessary to fulfil the purposes for which it was collected, including to satisfy any legal, regulatory, accounting, or reporting requirements. When personal information is no longer required, we will securely delete or anonymize it.

Contact form submissions and CRM records are retained for the duration of any active or prospective client relationship and for a reasonable period thereafter. Newsletter subscriber information is retained until you unsubscribe.

Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Canadian Privacy Law

CTRS is subject to the British Columbia Personal Information Protection Act ("PIPA") and the federal Personal Information Protection and Electronic Documents Act ("PIPEDA"), as applicable. Under these laws, you have the right to request access to your personal information held by us, request correction of inaccurate information, and withdraw your consent to our collection, use, or disclosure of your personal information, subject to legal and contractual restrictions.

Rights For EEA, UK and Other International Visitors

If you are located in the European Economic Area or the United Kingdom, the General Data Protection Regulation ("GDPR") and the UK GDPR may apply to our processing of your personal information.

Legal Bases for Processing

We process your personal information on the following legal bases: (a) your consent, where you have opted in to receive our newsletter or voluntarily submitted information through our contact forms; (b) our legitimate interests in operating our business, analyzing website usage, and responding to inquiries, where those interests are not overridden by your rights; and (c) compliance with legal obligations.

Your Rights

Subject to applicable law, you have the right to: access the personal information we hold about you; request rectification of inaccurate or incomplete information; request erasure of your personal information; restrict or object to our processing of your information; request data portability; and withdraw your consent at any time where processing is based on consent. Withdrawal of consent does not affect the lawfulness of processing carried out prior to withdrawal.

To exercise any of these rights, please contact us using the details in Section 13. We will respond to your request within 30 days or as required by applicable law.

If you believe your data protection rights have been violated, you have the right to lodge a complaint with the relevant supervisory authority in your jurisdiction.

International Transfers

Your information may be transferred to and processed in Canada and other countries where our service providers operate. Canada has been recognized by the European Commission as providing an adequate level of data protection. Where information is transferred to jurisdictions without an adequacy determination, we rely on appropriate safeguards as required by applicable law.

Children's Privacy

Our website is not directed at individuals under the age of 16, and we do not knowingly collect personal information from children. If we become aware that we have inadvertently collected information from a child under 16, we will take steps to delete that information promptly.
